Executive Assistant
A prestigious and well-established real estate development firm is seeking a classically trained, professional Executive Assistant to support a high-ultra net worth Chairman of the company. This is a unique opportunity to serve as a trusted right hand to a high-profile executive who values discretion, loyalty, and respect for traditional values within a conservative environment.
The ideal candidate is poised, impeccably organized, and committed to ensuring seamless support at all times. The position is a fully in-person role based in the Chairman’s executive office; remote work is not available.
Standard hours are Monday–Friday; however, availability outside of traditional business hours is expected, including early mornings, evenings, and weekends, depending on the Chairman’s schedule.

Key Responsibilities:
• Provide direct, daily administrative support to the Chairman.
• Take detailed and accurate shorthand notes during meetings, calls, and dictations.
• Manage a complex and ever-changing calendar, including scheduling of meetings, calls, and appointments while monitoring, filtering, and drafting professional correspondence within both a high-volume email inbox and text messages.
• Coordinate domestic and international travel arrangements, including flights, accommodations, and ground transportation.
• Handle restaurant and venue reservations with an emphasis on privacy and service.
• Prepare briefing materials, itineraries, and confidential documents.
• Maintain organized digital and physical files for efficient access and secure archival.
• Support occasional personal errands or engagements as needed.

Required Qualifications:
• Proven experience as a senior Executive Assistant supporting a C-suite executive, preferably in a high-profile or legacy corporate environment.
• Expertise in shorthand note-taking and transcription.
• Mastery of scheduling and calendar management across multiple time zones.
• Exceptional written and verbal communication skills.
• High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
• Strong sense of discretion, loyalty, and confidentiality.
• Poised, polished, and professional demeanor at all times.
• Strong attention to detail.
• Ability to anticipate needs and execute solutions.
• Availability outside of standard business hours when required.
