Office Manager
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. This person will inspire, guide, and support the team, helping everyone thrive. The ideal candidate will take ownership of this role, and naturally be great at prioritizing tasks and communicating efficiently with the leadership team. As Office Manager, you’ll be instrumental in every aspect of our business operations. This is a hands-on, high-impact role that demands organization, grit, and the ability to adapt in a fast-paced environment. *Must be able to go into the Phoenix, AZ area Corporate Office when needed.*
Key Responsibilities:
- Office Administration:
Oversee daily administrative operations; procurement, email, filing systems, and supplies.
- Scheduling & Coordination:
Coordinate schedules for security personnel and leadership. Maintain calendars, book meetings, and manage logistics.
- Human Resources Support:
Assist with onboarding, maintaining personnel files, tracking certifications/licenses, and processing time-off requests.
- Communication Hub:
Serve as the central point of contact between leadership, field teams, clients, and vendors.
- Project & Task Management:
Track deadlines, follow up on open items, and help drive projects to completion.
- Procurement & Logistics:
- Support purchasing processes, coordinate with vendors, track orders, manage deliveries, and ensure timely and accurate fulfillment of materials and supplies for projects.
- Billing & Invoicing Support:
Assist with invoicing, expense reports, and liaise with accounting as needed.
- Compliance & Documentation:
Ensure records, insurance, and licenses are up to date and accessible. Assist with audits or inspections.
- Problem Solver:
Handle day-to-day issues with a proactive, solution-first mindset.
What We’re Looking For:
- 5+ years in an administrative, office management, or operational support role (security, commercial construction industry a plus).
- Highly organized, detail-oriented, and capable of managing multiple priorities.
- Exceptional communication skills, both written and verbal.
- Proficient with Microsoft Office, Google Workspace, and scheduling software.
- Strong work ethic, integrity, and a no-task-too-small attitude.
- Proven ability to work independently and as part of a team.
- Trustworthy, discreet, and comfortable handling sensitive information.

Pay: $70,000.00 – $85,000.00 per year
